Annual Canvass 2025 – South Derbyshire

The Annual Canvass is a process carried out each year to ensure the Electoral Register is accurate and up to date. Every property in South Derbyshire will be contacted to confirm the information held about residents registered to vote.
Why this matters
Keeping the register up to date ensures that everyone who is eligible can vote and that outdated or incorrect records are removed.

Friday 5 September | Final reminder letters sent |
From 6 October | Phone calls or doorstep visits to non-responding properties |
Monday 1 December | Updated Electoral Register published |

To reduce cost and environmental impact, residents will be contacted by email where possible:

Each email will include a unique security code and a link to the Council’s secure online response portal.
A response is required. Only one response is needed per household. If no reply is received, a reminder letter will follow by post.
Contact by Post
Some households will receive postal forms instead of emails:
Canvass Communication A (CCA) – a single A4 sheet. Only respond if changes are needed.
Full Canvass Form – a 4-page form requiring a response in all cases.
If no response is received:
A reminder will be issued.
If there is still no reply, a canvasser may contact the household by phone or visit the property in person.
Adding New Residents
Anyone newly added during the canvass is not automatically added to the Electoral Register.
They must apply separately at: www.gov.uk/register-to-vote
If the online canvass response includes an email address for the new resident, an email prompt to register online will be sent. If they do not register online, a paper form will be sent after 10 days.
